Position Responsibilities:

The Administrative Managerís primary job responsibilities include, but are not limited to:

  • Oversee the day-to-day activities of the office of the VP, GLP including providing high level strategic support to the VP and Deputy Director on key internal priorities and projects
  • Support the operational, budgeting, and reporting aspects of the strategic and annual planning process on behalf of the department with emphasis in liaising with the regional directors (in regional offices and in NY)
  • Core support for oversight of the budget for GLP including managing GLP administrative spending, participating in budget reprojection meetings and signatory (when appropriate) on partnership agreements and contracts
  • Serve as the central point of coordination for assigned strategic projects and long-term scheduling involving the VP and Deputy Director
  • Draft, develop and copyedit written communications for the office of the VP, GLP such as memos, talking points, emails, contracts and presentations
  • Serve as point on regional office management including GLP security and expansion support for regional offices with close coordination with Global Operations & Administration and the HR team
  • Serve as a key department liaison on behalf of the department to HR, IT, and Finance
  • Serve as a key system point for GLP developing processes, systems, and supports that enhance a growing team
  • Serve as GLP point on institutional initiatives that support internal communications
  • Support planning and strategy for the annual retreat and capacity building trainings as appropriate
  • Maintain a current and robust understanding of the Centerís programmatic work, including an in-depth knowledge of our relationships with current and potential future coalition and other external partners
  • Coordinate with cross-functional teams to ensure that preparatory material comes together in a timely manner with an exceedingly high level of quality and accuracy, especially in regards to unit work planning, budgeting, and quarterly reporting
  • Coordinate closely with the Program Associate related to long-term scheduling and projects

  • Minimum of a Bachelorís degree required
  • 5+ years of professional experience
  • Experience in support of executive/senior managers faced with the challenge of prioritizing their time in a complex, faced-paced environment
  • Ability to draft and copyedit written communication effectively such as memos, talking points, presentations and emails
  • Excellent computer skills and comfort working with database programs, CRMs, etc.
  • Strong knowledge of expense tool reporting, policy/document editing, and workflows
  • Strong budgetary knowledge; intermediate Excel knowledge preferred
  • Demonstrated excellent writing and verbal communications skills
  • Solutions-oriented approach with strong analytical/reasoning skills
  • Professional and friendly demeanor and strong customer service skills
  • Must be able to work proactively and independently, multi-task, and work under tight deadlines
  • Dependability, diplomacy, strong organizational skills, and a sense of humor are necessary
  • Verbal and written language proficiency in Spanish a plus
  • Ability to work in a multicultural, diverse, and highly performance-driven environment
  • Ability to see and understand the big picture and translate into a strategic schedule
  • Ability to travel when needed.
